Proxy Records Access
Grant a Parent/Guardian Access to Your Student Records
St. Thomas students can grant parents, guardians, and other third parties view-only access to certain parts of their student record. When a third party is granted this access, they are referred to as a “Proxy.”
Granting these permission allows St. Thomas staff to discuss privileged information with a proxy depending on what authorizations have been assigned. A proxy will not be able to update any student information or request any written documentation via proxy access.

FERPA INFORMATION
Student Rights and Responsibilities
Student records are confidential and protected under the Family Educational Rights and Privacy Act (FERPA). Providing third-party access to student records does not forfeit any of the rights granted by FERPA; however, access should only be provided to trusted individuals to safeguard your information.
Proxy records are provided for individual use only and may not be shared with any additional individuals or used for any other purpose than personal use. It is recommended that you do not provide this access to any individual who does not require the access for a specific business purpose.

General Information
A passphrase is a unique word or phrase assigned by a student to each proxy they set up. The passphrase is required when a proxy calls to verbally obtain information about the student. Passphrases are not required to obtain written information. However, St. Thomas staff will only send privileged student information to a verified proxy email address.
We will only verbally communicate privileged information with a proxy if the proxy is able to recite the unique passphrase established by the student. If the student did not set up a passphrase during the initial proxy authorization, the student may log in and add a passphrase at any time.
No. Each proxy on a student's account must have a unique email address.
Absolutely. A proxy is identified by their email address, and that address can be assigned as a proxy for multiple students. This is particularly useful in the case of siblings who attend the University of St. Thomas.
Student Information
Yes. A proxy is notified any time their access permissions are adjusted.
Yes. Students can limit proxy access by adjusting the start and stop date at any time. The default access period is five years.
The Authorization tab allows the student to select which sections of their student record the proxy will have access to.
The Communications tab allows the student to review a comprehensive list of any emails sent to a particular proxy.
Proxy access can be removed by changing the “Stop Date” on the “Profile” tab for the proxy, or by removing all the checkmarks on the Authorization tab.
Proxy Information
The student controls what sections any proxy is authorized to view. The list of authorizations can be viewed on Murphy Online after your Proxy Access has been established. You may also ask your student to email you the list of authorizations set for you. If you are expecting to see something else, you should discuss this with your student.
No. You need to be an Authorized User on the student account to make payments and review e-Billing statements and activity.
On the Proxy Access profile page, update the email address and click save. The system will generate three email messages. The first email is sent to the old email address indicating that a request for a change from this address has occurred. The second email is sent to the new email address indicating that a change to this address was initiated. The third message will be sent to the student notifying them of the email address change.
